Fluentis: the ERP that meets all your business needs

The accounting management module of Fluentis ERP offers a wide range of essential and advanced functionalities compliant with Italian regulations.

This integrated module is a core component of business operations and is fully connected with the other system modules in a synergistic way.

The key features include general and analytical accounting management, flexibility in defining accounting entries, multi-company and multi-division management, and the automation of several processes such as invoice valuation, accruals and deferrals, open items management, and customer advances.

In addition, it provides automation for leasing accounting, loan liabilities, advance invoice breakdowns, different VAT regimes, management of VAT ceilings, tax intent declaration registers, periodic tax compliance, and Intrastat reporting, along with automatic allocation of cost centers, profit centers, and projects.

The Treasury Management area of Fluentis ERP focuses on the management and monitoring of incoming and outgoing financial cash flows, both in terms of relationships with financial institutions and in predictive analysis and customer risk management.

It manages payment and collection schedules according to SEPA and international SEPA formats and analyzes bank outstanding items for automatic or manual reconciliation.

Through financial simulations, it covers multiple management areas, enabling financial analysis that goes beyond accounting data, forecasting payment and collection timings, and adjusting statistical projections.

The module manages customer risk through statistical and operational controls, intervening in the sales flow via alerts and authorization blocks. Fluentis provides functionalities such as customer advance management, invoice schedule accounting, VAT regimes, VAT ceiling management, tax intent declaration registers, periodic tax compliance, Intrastat reporting, and allocation of cost and profit centers.

The ERP system also includes dedicated sections for customer credit management, handling receivables, outstanding negotiable instruments, overdue payments, and supplier payments, as well as managing cash inflows and operational advances. It also enables the connection of bank transactions with general ledger accounting and supports analysis of financial and forecasted cash flows.

The Management Control module of Fluentis ERP is a comprehensive system for collecting business data, both forecast and actual, in order to plan activities, calculate sales prices based on costs, and achieve business objectives.

It includes in-period closings, financial statement reclassification, budgeting, and financial forecasting management.

It also offers product cost management, enabling the calculation of prototype costs and total production costs, along with industrial accounting and sales and purchasing forecasts.

It is essential for “Make to Stock” companies, which base production on sales forecasts and periodic procurement planning. Industrial accounting allows detailed tracking by cost and profit centers, providing a structured and comprehensive view of business performance.

The Projects/WBS module supports complex resource management in service-based industries, enabling resource evaluation, project phase definition, and cost estimation.

The Sales Management area of Fluentis ERP consists of multiple modules for commercial management. It receives quotations from the CRM and integrates with Planning and Production for Demand Planning, which is particularly relevant for “Make To Order”, “Engineering To Order”, or “Assembly To Order” companies.

It connects with the Accounting Area for sales document administration and with Management Control to analyze sales margins.

The modules include customer order management, sales delivery notes (DDT), invoicing, price lists, POS management, sales agent commissions, pricing management, packing lists, and batch and serial number management for warehousing. These enable the complete management of commercial transactions, from order entry to shipping and invoicing, also providing monitoring and pricing/payment control functionalities.

Sales Some

The Purchasing Management area of Fluentis ERP offers complete support for efficiently managing Supply Chain processes. It enables the creation of manual or automatic purchase orders, facilitating goods procurement based on production and warehouse requirements.

The key features include planned and controlled management of all purchasing phases, integration with the Production Planning (MPS) area to convert schedules into Purchase Requests, and integration with the Sales area to automate supply orders based on customer orders, thereby speeding up Supply Chain processes.

The module also manages goods receipt into the warehouse through integration with the Logistics area, defining warehouse receipt reasons. Its functionalities include supplier price list management, discount policy definition, purchase requisitions, purchase orders, goods receipt, purchase delivery notes, and purchase invoices, simplifying accounting operations and inventory management.

In addition, the Subcontracting Management area enables production organization through third-party manufacturers, managing subcontracting orders, deliveries, returns, subcontractor price lists, and offering operational flexibility for companies that operate with both in-house and external production.

These modules enable precise management of production and warehouse operations related to subcontractors, providing detailed support and control over every stage of the production process.

Subcontracting Some

The Warehouse Management module of Fluentis ERP is crucial for optimizing business processes, covering stock control, internal logistics, and storage optimization.

It helps prevent waste, unforeseen issues, and delays that could significantly impact the company’s financial performance. The key functionalities include the management of physical and logistical warehouses, control of item quantities and stock levels, batch and serial number tracking, as well as shipment preparation and precise item location management.

Modules such as Picking List allow users to view available stock and prepare picking lists for shipments, while the Shipping Area optimizes shipment planning and updates real-time product availability information.

The Bill of Materials (BOM) is essential for manufacturing companies, as it defines the structure of a finished product and enables analysis of related production costs, while Location Management determines the exact position of items within the warehouse.

Other managed aspects include batch management, handling of Load Units (UDC), and serial number tracking, ensuring precise traceability of items throughout the entire business process.

Modules such as Packing List, Inventory Lists, and Cycle Counting enable detailed management of packaging information, creation of lists for physical and accounting verification, reducing the complexity of physical inventory management.

Logistics Some

Fluentis Mobile, integrated into Fluentis ERP, automates logistics and data collection within production processes.

Using Windows Mobile and Windows Phone technology, it ensures fast return on investment through process automation, rapid data entry via barcode scanning, reduced errors, and real-time access to business data.

It covers areas such as supply chain, goods receiving, warehouse management, shipping, and production progress tracking, while also enabling material traceability by batch, from goods entry into the company through to final distribution.

Fluentis has developed vertical management software solutions, built on over 25 years of experience across various industrial sectors. These flexible and integrated solutions support organizational and process improvements, adapting to both business needs and industry-specific requirements.

Fluentis ERP optimizes core business processes and expands commercial opportunities across different markets through parameter customization and adaptation to the specific needs of clients or vertical industries.

These vertical management systems have been designed for multiple sectors such as chemicals, automotive, food & beverage, tourism, heavy industry, and door and window manufacturing.

Each solution is tailored to the specific requirements of the sector, such as raw material traceability in the food industry or mold management in heavy industry. In addition, Fluentis ERP integrates with the supply chain, supports EDI standards, and offers advanced functionalities such as price list management in tourism and simplified sales processes in the retail sector.

The Fluentis ERP system integrates a MES (Manufacturing Execution System) for production management and planning, which is crucial for improving business performance.

These tools are essential for organizing and optimizing manufacturing and industrial activities. MES software enables the management of data coming from production processes, connecting operational execution in a structured and automated way.

This approach positively impacts planning, cost and material management, as well as integration with production plants and automated warehouses. Fluentis ERP uses algorithms to manage the sequence of operations within each work center, enabling an organized and automated workflow.

MRP (Material Requirements Planning) models help optimize material purchasing based on production planning. Reporting and production tracking allow companies to document manufacturing activities, record any waste, and monitor production order timing, while touch screen terminals simplify operator interaction with production orders.

Production planning defines the production schedule, including orders to be fulfilled based on customer demand, sales forecasts, or warehouse stock levels. Production orders can represent a single product or a set of products, enabling priority setting for better production scheduling. Master Scheduling (MS) evaluates the feasibility of selected production orders and generates planned documents such as Production Orders, Work Orders, and Purchase Requests.

Finite Capacity Scheduling (FCS) optimizes production departments to reduce setup costs and improve efficiency. MRP enables analysis of production coverage for active orders, providing insights into supply timing or required quantity adjustments. These tools can operate globally or on specific job orders, offering flexibility in business decision-making.

Production and Planning Some

The Fluentis ERP software offers a robust project management system, optimizing efficiency and productivity.

It is a key tool for project managers, ensuring a coordinated approach, improved team collaboration, and an optimal use of resources, while also enhancing budget planning.

The system manages different types of projects, including service projects structured through the Work Breakdown Structure (WBS), which allows for the modification, integration, and management of human and material resources.

For production projects, the software links logistical and production documents for cost tracking and reporting. It also supports repetitive project/contract management, enabling periodic invoicing for routine or extraordinary maintenance services. Finally, it manages progress-based contracts (SAL – Stato Avanzamento Lavori), facilitating invoicing based on contractual progress status.

Mobile app integration enables mobile collaboration, allowing operators to document activities, manage expense reimbursements, and handle project documentation.

The key functionalities include project management, human and material resource allocation, intervention planning, work progress monitoring, task assignment, and valuation of internal activities derived from employee service tickets.

A CRM integrated into the company management system is essential for monitoring and storing relevant details of relationships with customers, suppliers, business partners, and colleagues.

Beyond being crucial for customer acquisition and retention, CRM has a significant impact across multiple areas such as customer care, human resources, supply chain, and partner management.

When CRM is integrated within a management environment, it becomes an even more strategic tool, completing the information flow in a consistent and unified way. This provides benefits such as a user-friendly interface, reduced data entry time, and direct connection with sales and accounting data, improving communication between different business areas.

The functionalities of Fluentis ERP integrated CRM include contact management and lead development, integration with Outlook personal calendar, creation of marketing lists, sales pipeline management with quotation-to-order conversion, and customer support ticket handling.

CRM Some

Fluentis Business Analytics simplifies the creation and consultation of business statistics, offering full integration with MS Office 2016 and built-in managed user profiles for security.

The module has also evolved technically, allowing usage in both cloud and distributed environments.

With Fluentis Dashboards Designer, it is now possible to easily create dynamic dashboards for a clear and detailed visualization of statistics across different business areas.

Business Intelligence Some

With Fluentis Project Workflows it is possible to integrate workflow logic and customize business processes without the need to write complex custom procedures.

This level of customization allows automatic actions to be associated with each workflow: for example, in the invoicing context, when an invoice status changes from “created” to “approved”, the Workflow can generate a PDF, create an email to be sent to the customer, send the email with the PDF attached, and archive it in the document management system.

Workflow

The Fluentis ERP document management software offers a natively integrated management system, combining archiving capabilities with barcode recognition and OCR functionality.

It handles both active ERP documents and incoming passive documents received via email or paper, linking them directly to business objects within the system. Electronic invoicing, compliant with legal requirements, improves operational efficiency without disrupting daily business activities.

It enables faster VAT refunds, makes the Spesometro optional, and provides benefits such as rapid implementation without excessive costs, data security, and full invoice lifecycle management. Thanks to a single subscription fee, it ensures reliability, security, and complete management without the need for new infrastructure or external IT services.

Document management and electronic invoicing Some

Fluentis ERP offers an EAM software to manage technical service and plant maintenance, planning both routine and extraordinary maintenance activities.

This module manages customers, assets, and technician appointments automatically, displaying pending and completed jobs. It allows the creation of inspection reports and work orders, automatically deducts used spare parts, and generates information required for invoicing. Maintenance management covers both company-owned assets and external equipment, such as boilers or elevators.

It is possible to define different types of maintenance contracts, including warranty agreements or contracts with a fixed number of interventions. The asset register enables the identification of each item to be maintained with data on ownership, location, and assigned technician, while service and material management allows the automation of service requests and the definition of the historical composition of assets.

Location management tracks the history of rented or deployed assets, while bulk creation of service requests enables efficient issuance of planned work orders for selected assets.
